The one who always picks up.
An AI receptionist for businesses where the enquiries arrive on WhatsApp and nobody is free to answer them. It replies in seconds, at any hour, and only involves your team when there is something worth their time.
An AI receptionist answers every incoming enquiry the moment it arrives, at any hour. It greets the customer, answers the questions it has been given answers to, works out what the customer actually needs, and either books the next step or hands the conversation to a person — so nothing waits until someone opens the phone in the morning.
What does an AI receptionist actually do?
The job is smaller and more specific than “AI for business” suggests. A receptionist does four things, and so does this:
- Picks up. Every enquiry, in seconds, including the ones at 10:40 pm and on Sunday.
- Answers the easy questions. Do you cover my area, what does this usually cost, how soon could you start — the same five questions your team answers all day.
- Works out what they need. What they are after, where they are, when they are ready and what they can spend.
- Puts the right ones through. With everything already said written down, so your salesperson is not starting the conversation again.
Is this a chatbot, a receptionist, or a hire?
These get sold interchangeably and they are not the same thing. The honest comparison:
| A chatbot | An AI receptionist | Hiring someone | |
|---|---|---|---|
| Answers at 2 am | Yes | Yes | No |
| Handles what it was not scripted for | No | Yes | Yes |
| Judges whether a lead is worth chasing | No | Yes | Yes |
| Follows up a second and third time | Rarely | Yes | If they remember |
| Keeps a record of what was said | Partly | Every message | If they log it |
| Cost of one more at 300 leads a month | None | None | Another salary |
| Can read the room | No | Up to a point | Yes |
That last row is the one worth taking seriously. An AI receptionist is not better than a good salesperson — it is better than a good salesperson who is asleep, driving, or three days behind. The work it takes off them is the work they were least likely to get to.
Your first AI employee, if you are the sales team
Plenty of founders answer leads themselves, between everything else. The usual next move is to hire someone — which means committing to a salary before you know whether the leads justify it, and then spending three months teaching them what you already know.
An AI employee takes the first conversation instead. Whether thirty leads come in this month or three hundred, the first reply goes out in seconds and you look only at the ones that turned into something. You can still hire. You will just be hiring against a pipeline you can see rather than a hunch.
Who is this for?
Businesses running paid ads where the enquiries land on WhatsApp and get answered late — property and interiors, clinics and coaching, dealerships, equipment, services and agencies. The pattern matters more than the industry: money spent on generating leads, and the first reply arriving hours after the lead was hottest.
What will it not do?
Worth saying plainly, because the things it refuses are the reason to trust it.
- It will not quote a price you have not approved. It says it will check.
- It will not keep talking once a customer asks for a person.
- It will not pretend to be a named member of staff.
- It will not make commitments on your behalf — dates, discounts and promises stay with your team.
Common questions.
No. A WhatsApp chatbot follows a flow somebody drew — press 1 for sales, press 2 for support — and gives up when the customer says something the flow does not contain. An AI receptionist holds an actual conversation, works out what the customer needs from what they say, and knows when to fetch a person.
Axgen does not pretend to be a named employee. It answers as your business, the way a good receptionist does, and anyone who asks for a person gets one. Replies are generated from your own configuration — your prices, your services, your way of selling — rather than written fresh by a person each time.
It stops at once and calls your team in. The customer never gets two replies at the same time, and whoever picks up can see everything that was already said. The four steps shows what that handover contains — who they are, what they want, and what was discussed.
That is most of the point. Enquiries do not arrive between 10 and 6, and a lead that messages at 10:40 pm has usually spoken to three other companies by 9:15 am. What that costs you every month, in your own numbers — and the four places leads go missing if you want the pattern first.
No rules to write, and no flow builder — a flow only covers the conversations somebody thought of in advance. Setup is one call of about 30 minutes: you answer six questions about how you sell, then look at 20 sample leads and say whether Axgen judged them the way you would.
Zoho CRM today. The lead and the full conversation are written into Zoho automatically, so the record exists without anyone typing it. If you use something else, tell us on the setup call — we will not claim an integration we have not built.
Pricing is not fixed yet, and we would rather say that than publish a number we would have to change. Businesses on the waitlist hear first, with no commitment. WhatsApp messaging is charged separately by Meta, which is true of every tool in this category.
